This privacy policy explains how TenantWise processes personal data collected via tenantwise.nl. We take your privacy seriously and handle your data carefully and confidentially, in full compliance with the General Data Protection Regulation (GDPR).

1. What personal data we process

TenantWise processes personal data from visitors and clients of tenantwise.nl. Depending on how you use our website, this may include:

• First and last name
• Contact details such as email address and phone number
• Company name and job title
• Information submitted via a contact form
• Technical data such as your IP address and browsing behaviour (via analytical cookies)

We process only the data strictly necessary for the purposes described below (data minimisation).

2. Purposes and legal basis

TenantWise processes your personal data for the following purposes:

• Handling your enquiry or contact request
• Performing a service agreement (M365 Health Check or other service)
• Sending requested information or a quote
• Improving our website and services

We process data exclusively on the basis of a valid legal ground under the GDPR: performance of a contract, a legal obligation, your consent, or our legitimate interest. Where processing is based on consent, you may withdraw that consent at any time.

3. Sharing with third parties and processors

TenantWise does not sell your data to third parties and discloses it only where necessary for performing our agreement with you or to comply with a legal obligation. We have data processing agreements in place with the following processors:

• Netlify (website hosting) — based in the US; transfers rely on the EU-US Data Privacy Framework and/or the European Commission's standard contractual clauses
• Formspree (contact form processing) — based in the US; transfers rely on standard contractual clauses
• Google Analytics (website analytics) — only with your consent
• Microsoft Clarity (usage analytics) — only with your consent
• TransIP (email hosting) — based in the Netherlands

4. Cookies

tenantwise.nl uses functional and analytical cookies. Functional cookies are strictly necessary for the website to operate and are placed without consent. For analytical cookies (Google Analytics and Microsoft Clarity) we request your prior consent via the cookie banner; these scripts are only loaded after you have consented. Microsoft Clarity records anonymised session replays (mouse movement, scrolling and clicks); form input is masked and not captured. Google Analytics is configured with IP anonymisation. You can manage or delete cookies at any time via your browser settings.

5. Retention periods

TenantWise retains your personal data no longer than strictly necessary for the purposes for which it was collected. For data subject to statutory retention requirements, we apply the legally required period of seven years. Data provided on the basis of consent is retained until you withdraw that consent.

6. How we secure your data

TenantWise takes appropriate technical and organisational measures to protect your data against misuse, loss, unauthorised access and unwanted disclosure. Our website uses a secure connection (TLS/SSL) and access to data is restricted to authorised persons.

7. Your rights

You have the right to access, correct or delete your personal data. You also have the right to:

• Object to processing
• Request restriction of processing
• Data portability
• Withdraw consent

Send your request to info@tenantwise.nl. TenantWise will respond within four weeks. To verify your identity we may ask for additional identification.
